Do you know how to optimize your valuable time by scheduling your emails? Outlook's "Send Later" feature can work wonders for any business in any industry.

Optimize Your Business with the Simple yet Effective “Send Later” Feature

Do you know how to optimize your valuable time by scheduling your emails? Outlook’s “Send Later” feature can work wonders for any business in any industry.

Recent estimates show that the average office worker gets 121 emails a day. At best, reading and answering these emails will distract you and your employees from other, more important jobs. In the worst-case scenario, you’ll get an email that will totally infuriate you, tempting you to answer in kind only to regret your outburst later in the day.

Thankfully, you can avoid wasting time thinking about and answering unimportant emails with a handy Outlook feature called “Send Later”. This feature, which is found in various versions of Outlook and in other email software programs, enables you to respond to emails at the time that works best for you. Read on to get to know how it works and how you can use it to save yourself a great deal of time, hassle, and heartache.

Getting Started

If you’re using Outlook, start typing your message and then select the “More Options” arrow from the tags group. Under “Delivery Options”, select the “Do Not Deliver Before…” checkbox and then select the delivery date and time that best suits your needs. Once you finish writing your email, click “send”. The email is then automatically scheduled to be sent at your chosen time. If you decide later on to send the email earlier or later than you originally planned, you can go back to the options menu and change your original delivery time or unselect the checkbox to send your scheduled emails immediately.

Alternatively, Outlook has a feature that enables you to automatically delay the delivery of all your emails by up to two hours. This feature can come in handy if you prefer to send all your business emails at a particular time; however, the downside of using is that it’s easy to forget you have it turned on. Timely answers that need to be sent immediately may be inadvertently delayed if you forget to change your email options before answering urgent emails.

Given the fact that it takes nearly a half-hour to get back into what you were doing before being interrupted, it’s easy to see how scheduling email delivery can help you and your employees save a lot of time every single week.
